Rules and Regulations for the Annual Research Symposium:

The annual research symposium is organized every year by the members of the Stony Brook Dental Student Research Society.   This event provides an opportunity for students to share their work with faculty and students as well as compete for awards.     

A.       Eligibility:

1         Any Dental Student that has completed research while he or she was a dental student or during the summer before their first year is eligible to present in the symposium and compete for awards.   The student may present work that he or she has completed under a mentor at another institution with the permission of that mentor.  

2         Fourth year students are eligible to compete for placement and awards, however they can only accept travel awards if they can commit to attending a conference after they have graduated.  If they cannot commit to attending a conference then that student’s travel award will go to the next placed winner.  For example, if the second place winner is a fourth year and could not commit to attending a conference then the travel award initially allotted for the second place winner will got to the student in third place.  The award initially allotted for the third place winner will then go to a fourth place student.  It is important to note that there are deadlines for accepting of some awards therefore the fourth year student must make the decision within a reasonable amount of time (a week or two).  

3         Graduate students and residents are also welcomed to present their work, however they will not be eligible to compete for awards.

4         In the case that there are too many requests to present at the symposium, competing dental students have priority over graduate students and residents.  Available spots can be offered to residents and graduate students by lottery if there is not enough spots for all who want to present.

5         In all cases students can only present their own work.

B.     Awards:   These may change overtime.  Below are awards and contact information that have been consistently available in the past.

1         ADA/Dentsply Student Clinician Award

2         Travel award to present at the Hinman Student Research Symposium hosted by College of Dentistry at the University of Tennessee.  Contact is Dr. Mustafa Dabbous (901) 448-6167.

3         Dr. Gustave Durrer Travel Award

4         Current information regarding these and any additional awards will be sent to the director of research every year .  A representative from the research society should contact the dean of research to collect any and all updated information regarding awards. 

C.       Judging: 

1         Judges should be faculty chosen by the research society.

2         There should be an odd number.  Five judges is a good number, but more is ok.  One judge should be asked to act as the Judge Chair.  This person will also hold the clock and keep the presenters from speaking within the time limit.

3         Try to have representatives from different departments

4         Mentors can not be judges

5         Judges should be given the judging criteria sheet to evaluate the presenters (appendix A)

D.      Time Limit:  If there are a lot of presenters 10 minutes should be allotted to speak and 5 minutes should be alloted for questions.  If there are only a few presenters it is possible to give them more time.  Either way presenters must be informed of the time limit in advance.   The Judge chair must to make sure presenters do not speak over time. 

E .      Dates:  April or May are good months for the symposium.  Try to choose a date so that the mentors of the presenters and the dean of research can be present. 

F.    Miscellaneous

1         The Symposium usually begins with a speech from the president of the research society.  The president will also act as the MC (Master of Ceremonies).

2         Catering:  It is always a good Idea to provide food.  Funding for the food must be secured.

3         It is very important to use microphones.  Room 195/196 has a loud ventilation system and students who are not used to lecturing cannot be heard without microphones.

4         Flyers must be put up and the event should be promoted.  Someone needs to make announcements and send e-mails and try hard to bring as many people to the symposium as possible.
